Polite Email Templates for Refunds and Delivery Delays
Refund requests and "where is my order?" emails are the moments customers remember. They're already a little annoyed. A clear, warm reply can turn that into trust. A vague or defensive one turns it into a bad review.
This guide gives you a simple structure and templates for the most common cases.
The structure that works
- Acknowledge the problem in their words.
- Decide clearly: yes, no, or partly. Don't bury it in paragraph three.
- Explain briefly and honestly.
- Next step with a realistic date.
- Close warmly and invite them to reply.
Avoid "unfortunately" in the first sentence. Avoid blaming carriers, suppliers or colleagues, even when it's their fault. The customer bought from you.

Refund declined, with an alternative
Hi [Name],
Thank you for explaining what happened with [product]. I've looked at your order [number], and because [honest reason, e.g. the return period of 30 days ended on (date)], I can't issue a refund.
What I can do is [alternative: store credit / repair / exchange]. Would that work for you?
Best,
[Your name]

Delivery delay: you don't know yet
Hi [Name],
Thanks for your patience with order [number]. I don't have a confirmed delivery date yet, and I don't want to promise one I can't keep. I'll update you by [day] at the latest, sooner if I hear anything.

Parcel marked delivered but not received
Hi [Name],
I'm sorry your parcel hasn't turned up, even though the tracking shows it as delivered on [date]. Could you check with neighbours and any safe place it might have been left? If it's still missing by [day], reply to this email and I'll [send a replacement / start an investigation with the carrier].
Best,
[Your name]
Words that help and words that hurt
| Instead of… | Try… |
|---|---|
| "As per our policy…" | "Our return period is 30 days, so…" |
| "Unfortunately there's nothing we can do." | "What I can do is…" |
| "The carrier caused the delay." | "Your order is taking longer than it should." |
| "Please be patient." | "Thanks for your patience. I'll update you by Friday." |
Making every reply specific without typing it all
The templates above only work when the details are right: the order number, the amount, the date, the policy. That's the slow part.
LittleDraft helps here inside Apple Mail. Add your refund and shipping policy to the Reference Library, then type a few words such as "approve refund 34.90, 5 business days" or "delay, new date Friday, offer cancellation". LittleDraft writes a complete, polite reply in your own style that answers the customer's actual email. You review it and send it yourself. Nothing goes out automatically.
