10 Customer Support Email Templates You Can Adapt Today
Good support email is fast, specific and human. Templates help with the first two. The third is up to you. Below are ten templates for the situations small teams answer most often. Replace everything in [brackets], and always add one sentence that shows you read the customer's message.
The golden rules
- Answer the question in the first two lines. Explanations come after.
- Name the next step and who takes it. "I've done X. Next, you'll get Y."
- Use their words. If they wrote "my parcel", don't reply about "your shipment".
- One topic per email. Several issues? Use a numbered list.

Why templates stop working at scale
Templates save typing, but they don't read the email for you. Every reply still needs the order number, the right date and a sentence that fits this customer. And when several people answer, everyone's templates drift into slightly different tones.
Turning templates into personal replies
This is where an AI drafting assistant helps. With LittleDraft in Apple Mail, you can:
- Put your policies, product guides and standard answers into the Reference Library, so drafts use the right facts.
- Type a few words, such as "order shipped Tuesday, tracking link, apologise for the wait", and get a complete reply that answers the actual message.
- Keep your own writing style for each account, so support replies sound like your team, not like a robot.
- Review every draft before sending. LittleDraft never sends email on its own.
On Pro, Pre-Drafts can prepare suggestions for selected unread emails, and Capture Context brings in details from other apps, such as an order system open in your browser.
