How to Reply to Emails Faster in Apple Mail
Most of us don't have an email problem. We have a replying problem. Reading a message takes seconds. Working out what to say, finding the right tone and typing it all out is what eats the afternoon. The good news: Apple Mail on the Mac has more speed built in than most people use, and a few habits make a big difference.
Here's a practical setup, from free built-in tricks to AI help that still sounds like you.
1. Learn the five shortcuts that matter
You don't need fifty shortcuts. These cover most of a reply session in Apple Mail:
| Action | Shortcut |
|---|---|
| Reply | ⌘R |
| Reply all | ⇧⌘R |
| Forward | ⇧⌘F |
| Send | ⇧⌘D |
| New message | ⌘N |
Using the keyboard for reply and send alone removes hundreds of small mouse trips a week.
2. Triage first, reply second
Switching between "deciding" and "writing" is slow. Try two passes instead:
- Triage pass (5 minutes): go through new mail and do one of four things: delete or archive, flag it for a reply, move it to a folder, or answer immediately if it takes under two minutes.
- Reply pass: work only through flagged messages, oldest first.
Flags in Apple Mail come in several colours. Use one colour for "needs my reply" and nothing else, so the list is never ambiguous.
3. Build smart mailboxes for what you actually answer
A smart mailbox is a saved search. Useful ones:
- Needs reply: flagged messages in all inboxes.
- Today: messages received today.
- Customers: messages from a specific domain or containing words like "order" or "invoice".
Create one via Mailbox → New Smart Mailbox. They show up in the sidebar and update automatically.
4. Stop retyping the same answers
If you write the same explanation every week (opening hours, delivery times, how to reset something), keep it somewhere you can reach quickly. Options include a notes file, text replacement in System Settings → Keyboard → Text Replacements, or a stationery template.
The limit of templates is that they sound like templates. Customers notice when a reply ignores the detail they actually asked about.
5. Write shorter replies on purpose
A fast reply isn't a sloppy reply. A useful structure for most business emails:
- One line that answers the question.
- One or two lines of detail or the next step.
- A friendly close.
If a reply needs more than five short paragraphs, consider a call instead.
6. Let AI draft, and you decide
AI drafting is where the biggest time savings are now, as long as you stay in control.
Apple Intelligence (on supported Macs) adds Smart Reply suggestions and Writing Tools to Apple Mail. They're free and useful for short, simple answers.
LittleDraft works alongside Apple Mail and goes a step further for people who write a lot of email:
- You type a few words, such as "yes, Thursday works, send the contract", or pick a quick action like accept, decline or ask for details. LittleDraft writes the complete reply.
- It learns your writing style from the sent emails you choose and keeps a separate style for each account, so work email doesn't sound like your personal email.
- It can use your Reference Library (guides, policies, price lists) so replies contain the right details.
- With Pro, Pre-Drafts can prepare reply suggestions for selected unread emails before you open them.
- Nothing is sent automatically. You review every draft and send it from Apple Mail.
If privacy matters, LittleDraft Pro can draft with Apple's on-device model on compatible Macs, so your email stays on your Mac for AI processing.
A 20-minute daily routine
- Morning (10 min): triage pass, then answer everything that takes under two minutes.
- Afternoon (10 min): reply pass through your "Needs reply" smart mailbox, using drafts to get from blank page to finished reply quickly.
Outside those blocks, keep Mail closed or notifications off. Speed comes from fewer context switches as much as from faster typing.
The short version
Use the keyboard, triage before you write, let smart mailboxes collect what matters, keep reusable answers handy, and let a draft do the typing while you keep the final say.
