Reference Library and document import

Keep useful policies, product information, and captured text locally, then let relevant excerpts support your replies.

What belongs in the Library

Add reusable sources such as a returns policy, product guide, service instructions, or approved wording. LittleDraft extracts text locally and stores saved reference content encrypted on your Mac, with keys protected through macOS Keychain. The Library is not a synchronized company knowledge base or an independent check that a policy is current.

Add and organize a source

  1. Open Library and import a supported document: PDF, DOCX, TXT, Markdown, RTF, PNG, JPEG, or HEIC.
  2. Inspect the extracted text, especially for scans and images.
  3. Give it a clear name, such as “Returns policy — November 2026.”
  4. Assign it to the appropriate Mail accounts or deliberately share it across accounts where the controls allow.
  5. Check whether it is available for automatic matching, and remove outdated duplicates.

Saved screen captures use the same Library, but their availability is app-wide. Imported documents can use account assignments. A source that is unassigned or excluded from matching may not be selected for an ordinary automatic reply.

How matching works

LittleDraft uses the email and your direction to select relevant passages, combining identifiers and contextual matching. It does not send every saved document for every reply. If only part of a source fits the available context, the reply-context view can show the included excerpts and indicate partial selection. Do not infer that an omitted paragraph was checked or that absence of evidence proves a policy exception.

Example: answer using a policy

Saved policy: “Unused items can be returned within 30 days of delivery. Customer must provide the order number.”

Incoming: “Can I return the keyboard I bought?”

Direction: “Explain the policy. Ask for the order number and delivery date before confirming eligibility.”

You can return an unused item within 30 days of delivery. Could you send your order number and delivery date so we can check whether your purchase is eligible?

Capacity and import limits

Trial and Basic support up to 30 saved Library items; Pro supports up to 300. Captures also occupy Library capacity. Files must be below 10 MB; PDFs are limited to 40 pages and an individual document to 60,000 extracted characters. A single selected document context is limited to four references and 40,000 characters in total. The local AI model has a smaller working context and may ask for fewer or shorter sources.

Retention and deletion

Choose retention of 7, 30, or 90 days, or keep content until you delete it. Delete or replace a source when its facts change; old captures can otherwise influence later replies. Removing an item from LittleDraft does not delete the original file you imported. It also cannot recall content already sent in a previous cloud request.

When a reference is not used

Check its account assignment, matching setting, age, and text readability. Make the instruction more specific, using the source name or exact order identifier. Inspect Reply context rather than assuming a relevant-looking file was included. If necessary, reduce the source to the important section and regenerate.
