Private AI for Email on the Mac: What to Know Before You Start

Email is full of personal data: names, addresses, order details, sometimes health or financial information. AI can answer that email much faster, but many AI tools send the message to a cloud server to process it. If you work in the EU, or simply care about privacy, it's worth understanding the options.

This article is general information, not legal advice. For your specific GDPR obligations, talk to your data protection officer or a lawyer.

Three ways AI email tools process your mail

  1. Vendor cloud: the tool sends the email to its own servers or to an AI provider it works with.
  2. Bring your own key: you connect your own account with a cloud AI provider. The email goes from your Mac to that provider, under their terms.
  3. On-device: the AI model runs on your Mac. The email doesn't need to leave the device for the AI to write a reply.

Each can be the right choice. What matters is that you know which one is happening, every time.

Why on-device AI is interesting for email

  • Less data leaves your control. If the AI runs locally, there's no AI server receiving your customers' messages.
  • Fewer parties to document. Every cloud service that processes personal data is another processor to assess and list.
  • Works offline. Useful on trains, planes and patchy hotel Wi-Fi.

Modern Macs with Apple silicon can run capable language models locally. Apple provides an on-device model through Apple Intelligence that apps can use.

Questions to ask any AI email tool

Before you connect an AI tool to your inbox, get clear answers to these:

  • Where is my email processed? On my device, on your servers, or at a third-party AI provider?
  • Can I choose, and can I see what's selected? Is there a clear setting and an indicator for the current mode?
  • Does it ever fall back to the cloud silently? If the local model isn't available, does the tool switch without asking?
  • What leaves my device for "extra" features like web research, and do I approve that?
  • Which subprocessors are involved? Is there a published list?
  • Does it send anything automatically? Or do I review every email?
  • Can I delete my account and data?

A trustworthy tool answers these on its website, not only in a sales call.

How LittleDraft handles this

LittleDraft is an AI reply assistant that works alongside Apple Mail. It offers two kinds of processing, and you choose which one you use:

Private AI (Pro) uses Apple's on-device model on compatible Macs (Apple silicon, macOS 26 or later, Apple Intelligence enabled). In Private mode:

  • Your email and drafting context stay on your Mac for AI processing.
  • Replies are generated locally and don't use cloud reply credits.
  • After online activation, ordinary drafting works offline as long as the local license remains valid.
  • Private drafting never silently switches to Cloud AI.
  • Settings and indicators show model availability, activation and the selected mode.
  • Little Engine research is an online feature. In Private mode, LittleDraft explains what information will leave the Mac and asks you to approve each research request.
  • Private drafting currently supports English and German.

Cloud AI is available on all plans, including on Macs that can't run the local model. LittleDraft publishes its subprocessors and an AI transparency page on its website, so you can check what's involved.

In both modes, LittleDraft never sends email automatically. You review every draft and send it yourself from Apple Mail.

A simple checklist for your team

  • Decide which mailboxes may use AI at all.
  • Prefer on-device processing for mailboxes with sensitive data.
  • Make sure no tool can switch to the cloud without you noticing.
  • Require approval for anything that goes online, like research.
  • Keep a human review step before every send.
  • Document the tools you use in your records of processing.
